Frequently Asked Questions
General Questions
All on-site transactions with ASTC (including registration payments and ASTC 2026 exhibit booth purchases) will be cashless and must be paid via credit card, check, or ACH.
We ask about needed accommodations as part of the registration process. If you require special assistance, auxiliary aids, or other reasonable accommodations to fully participate in this event, please indicate during registration or email sessions@astc.org. Information regarding disabilities and special assistance will remain confidential.

As always, ASTC prioritizes the health and safety of our community. We encourage all conference participants to practice good health and hygiene practices everywhere they go, including staying home when sick, keeping up-to-date with vaccinations of all kinds, monitoring the local public health situation, testing for COVID-19 as warranted, and frequently washing your hands. We also encourage anyone to wear a well-fitting mask, especially if you are part of a sensitive group.
ASTC will take photographs and videos during its meetings and events for use in livestream and session recording, advertising, newsletters, and other promotional materials, whether in print, electronic, or other media, including the ASTC and conference websites. By participating in this conference, you grant ASTC the right to use your likeness for such purposes.
Yes, we encourage you to take advantage of the in-person nature of the conference to schedule meet-ups and other events. Meeting spaces fill up fast. Contact us at sessions@astc.org for information about availability and to schedule your event. Requests are due no later than August 14. All costs for these events will be the responsibility of the organizer.
As part of registration, you can determine which information will be shared with other conference attendees. ASTC does not work with any third-party list broker. Please do not engage with and/or acquire/purchase any list from any company claiming to have access to the ASTC conference database, attendees, or contact information; even responding to these inquiries may put your and others’ information at risk.
ASTC is committed to making the conference as sustainable as possible. Please see this page for more specific actions and program decisions that reflect this.
This conference is designed for adult attendees, and programming is not geared toward younger audiences, and in general children will not be permitted to enter the conference facility. That said, we know many of our attendees will be traveling with their families. If you need to have your child with you, please check in at the Registration desk. Children are always prohibited from the Exhibit Hall during set-up and tear-down for safety reasons. All social events are 21+ and children will not be admitted.
No childcare services are available at the conference.
This year, we will not be distributing a printed program. Instead, we’re offering several ways to stay on top of the schedule:
Conference app: Download the official conference app (available approximately two weeks before the event) for the full, up-to-date program. You can enable push notifications for schedule changes and save sessions to your own personal itinerary.
Schedule-at-a-glance signage: Posted on site for a quick overview of the day.
Directional signage: Posted throughout the venue showing which sessions are located where.
Staff and volunteers: On hand throughout the conference to help with wayfinding and to answer questions.
We recommend downloading the app as soon as it’s available so you can explore the schedule and plan your sessions ahead of time.
Registration Questions
When you arrive at the Phoenix Convention Center, follow the signs for ASTC 2026 and use the QR code emailed to your print your badge at the registration kiosks.
All cancellations must be made in writing to conference@astc.org. Cancelled registrations cannot be credited to a future conference.
- Cancellations received on or before August 4, 2026, are entitled to a full refund of registration and event fees.
- Cancellations received August 5 – September 8, 2026, will be subject to a $200 cancellation processing fee.
- After September 8, 2026, no refunds will be granted for cancellations (includes paid session and event fees).
Before beginning a registration for another person, please review this registration information to ensure that you have all the details needed to complete a registration. You will register the individual with their email address. The payment and confirmation email will be sent to the email address used for the registration.
Before transferring your registration to another person, please have the individual review and complete the transfer form and email conference@astc.org.

Travel Questions
ASTC has contracts with several hotels adjacent to the Phoenix Convention Center, where most activities will be held, offering special discounted rates to conference attendees. Please see the hotel information page for details about conference hotels and to book your stay.
We strongly encourage you to book as part of the conference room block. ASTC has negotiated these rates to ensure an affordable stay, and the hotels are conveniently located for conference activities.
We encourage you to apply for a visa as soon as possible. Most visitors, except those who are citizens or nationals of countries designated under the Visa Waiver Program, will need to complete processing steps in your home country. To facilitate this process, ASTC can provide a letter of invitation once you register for the conference. If you require an invitation letter to obtain a visa to attend the ASTC 2026 Annual Conference, you can request one when completing your conference registration.
